Round the Table (“Round the Table,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you provide to us.
This Privacy Policy explains how Round the Table collects, uses, stores, communicates, and protects personal information when you interact with us through our website, online forms, email, social media, and community activities.
This policy applies to personal information collected by Round the Table in connection with these activities and is intended to comply with applicable Quebec privacy legislation, including the Act respecting the protection of personal information in the private sector.

2. What personal information do we collect?
Depending on the form, activity, or interaction involved, Round the Table may collect information such as:
Name;
Age or age range;
Email address;
Phone number;
Instagram handle or other social media information that you choose to provide;
City or general location;
Photographs that you voluntarily submit;
Information about your Christian or faith background, denomination, parish or church affiliation, practices, and preferences;
Dating, relationship, and community preferences;
Interests and preferences relating to Round the Table activities;
Information provided in open-text responses; and
Other personal information that you voluntarily provide to us.
We aim to collect only information that is reasonably necessary for the purposes for which it is collected.
Please do not provide sensitive, confidential, or unnecessary personal information unless the form specifically requests it.
Certain information relating to religious beliefs, practices, relationships, or other intimate aspects of a person’s life may constitute sensitive personal information depending on its nature and the circumstances in which it is collected or used. We take the sensitivity of such information into account when handling it.
3. Why do we collect personal information?
Round the Table may collect personal information for purposes including:
Understanding the needs, interests, and preferences of the Christian young adult community;
Developing, evaluating, and improving Round the Table;
Building and maintaining a community of individuals interested in friendship, dating, and/or community activities;
Understanding participants’ interests and preferences in order to develop potential future activities;
Verifying information where reasonably necessary to help maintain the integrity and safety of the community;
Considering potential introductions or matches between participants;
Inviting individuals to relevant Round the Table events or activities;
Communicating with individuals who have expressed interest in Round the Table; and
Administering and improving Round the Table’s activities.
We will not use your personal information for a purpose materially different from the purpose for which it was collected unless we obtain the consent required by applicable law or another lawful basis for doing so.
4. Consent
Where consent is required, Round the Table will obtain consent in a manner that is clear and appropriate to the circumstances. When you complete a Round the Table form that requests personal information, you may be asked to actively confirm your consent through a checkbox. Consent will not be pre-selected. Depending on the information and purpose involved, consent may include acknowledgment that: You have read and understood this Privacy Policy; You consent to Round the Table collecting, storing, and using your information for the purposes described; You understand how your information may be handled by Round the Table and its service providers; and Your information will not be shared with another participant for an introduction or matchmaking purpose without the consent required for that disclosure. Where required by law, separate or express consent will be obtained for the collection, use, or communication of sensitive personal information. You may withdraw consent where applicable by contacting admin@roundthetable.ca. Withdrawal of consent does not affect the lawfulness of any use or communication that occurred before the withdrawal.
5. Matchmaking and sharing information with other participants
Round the Table is a community project that may eventually facilitate introductions between individuals interested in meeting one another. Submitting your information to Round the Table does not mean that your information will automatically be shared with another participant. We will not provide your personal contact information, photograph, personal responses, or other personal information to another participant for the purpose of an introduction or matchmaking without obtaining the consent required for that disclosure. Where Round the Table proposes an introduction between participants, the information communicated and the manner in which it is communicated will be determined in accordance with the consent obtained and applicable privacy requirements. We do not sell personal information.
6. Photographs and submitted content
If you voluntarily provide a photograph or other content through a Round the Table form, it will be handled for the purpose for which it was collected. A photograph submitted for identification, verification, or community-development purposes will not be publicly posted by Round the Table or provided to other participants without the separate permission or consent required for that use. If Round the Table wishes to use a photograph, testimonial, quotation, or other personally identifiable content publicly, we will obtain the appropriate permission before doing so.
7. How your information is stored
Round the Table currently uses third-party technology platforms to operate its forms and organize information. These may include: Tally, which is used to host and collect responses to Round the Table forms; and Airtable, which may be used to organize and review information collected through Round the Table forms. These service providers may process personal information on Round the Table’s behalf. We take reasonable measures to limit access to personal information to individuals who require access for legitimate Round the Table purposes. We also take reasonable measures to protect personal information against unauthorized access, use, disclosure, alteration, loss, or destruction. No electronic storage or transmission system can be guaranteed to be completely secure.
8. Third-party service providers and communication outside Quebec
Round the Table may use third-party service providers to provide website, form, storage, communication, event, or other technological services. Where a third party processes personal information on our behalf, we remain responsible for the information entrusted to us. Some service providers may process or store personal information outside Quebec. Where required by Quebec law, Round the Table will conduct the appropriate assessment and take the measures required before communicating personal information outside Quebec or entrusting such information to a person or organization outside Quebec. 9. How long do we keep your information?
Round the Table retains personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, administer our activities, maintain appropriate records, and comply with applicable legal obligations. Retention periods may vary depending on the nature and sensitivity of the information and the purpose for which it was collected. When personal information is no longer required, Round the Table will securely destroy it or take another measure permitted by applicable law. You may contact admin@roundthetable.ca to ask about the retention of your personal information or to make a request concerning its deletion, subject to applicable legal requirements and exceptions.
10. Security measures
Round the Table takes reasonable security measures appropriate to the sensitivity of the personal information it holds. These measures may include: Limiting access to personal information to authorized individuals; Using password-protected accounts and appropriate access controls; Limiting the collection of unnecessary personal information; Using reputable third-party technology providers; Maintaining reasonable administrative and technical safeguards; and Taking reasonable steps to prevent unauthorized access, use, disclosure, alteration, loss, or destruction. Despite these measures, no electronic system is completely secure, and Round the Table cannot guarantee absolute security.
11. Privacy incidents
If Round the Table becomes aware of a confidentiality incident involving personal information, we will assess the incident and take the measures required by applicable law. Where an incident presents a risk of serious harm, Round the Table will notify the affected individuals and the Commission d’accès à l’information du Québec as required by law. Round the Table will also maintain the records concerning confidentiality incidents required by applicable legislation.
12. Your privacy rights
Subject to applicable legal exceptions, you may have rights concerning the personal information Round the Table holds about you, including the right to: Request access to your personal information; Request correction of inaccurate or incomplete information; Withdraw consent where applicable; Request deletion of personal information where applicable; Ask how your personal information is collected, used, communicated, or retained; and Make a complaint concerning the handling of your personal information. 13. Privacy complaints
If you have a concern about how Round the Table has handled your personal information, we encourage you to contact us first at admin@roundthetable.ca so that we can review the matter and attempt to resolve it. You may also have the right to make a complaint to the Commission d’accès à l’information du Québec.
14. Website, cookies, and similar technologies
Round the Table’s website and third-party services used in connection with the website may use cookies or similar technologies for purposes such as website functionality, security, analytics, or understanding how visitors interact with the website. The specific technologies used may change as the website develops. Where applicable, Round the Table will provide appropriate information and choices concerning technologies that collect personal information.
15. Social media
Round the Table maintains social media accounts, including Instagram, and may interact with individuals through social media platforms. Information that you voluntarily make public on a social media platform may be visible to other users and is subject to the privacy practices and terms of that platform. Round the Table does not control the privacy practices of third-party social media platforms. We encourage you to review the privacy settings and policies of the platforms you use.
16. Changes to this Privacy Policy
Round the Table may update this Privacy Policy from time to time to reflect changes in our activities, technology, privacy practices, or legal requirements. When this policy is updated, the “Last updated” date at the top of the policy will be changed. Where required by law, Round the Table will provide appropriate notice of material changes and obtain any consent required before using personal information for a new purpose.
